Creating a Change Request

• You can create a change request from either the Tasks page or the Search All page
• All requests must be entered through the screen below
• When a domain is selected, you will have the option to submit the request to the queue so that a request owner in that domain can pick it up and fill out the Work Plan. If you want to continue to fill out the details of the request and you are a request owner in that domain, you can select yourself. When you submit the initial request, you will be taken directly to the request details to fill out Work Plan.

Assign a Request Owner

• When a domain is selected, a request owner field shows under the domain
• The requestor can select:
  • The request owner group queue of that domain, where those group members can view it in queue and choose to pick it up.
  • A specific memeber by selecting their name from the drop down. The assigned user will receive an email to inform them of their request which will also show for them in Tasks page under "My change requests"
  • Themselves, by selecting their own name. Submitting the request will take them to the next page to enter full request information.

Three types of change requests are

• "Create a new artifact (Vault file) or product data" for creating a new vault file or documents. "New" requests will immediately be auto-approved and won't go through the approval process.
• "Change an existing artifact (Vault file) or product data" to edit artifacts that already had a request or ECN completed. This request type may trigger an approval process.
• "TEC (Temporary Engineering Change)" for createing a request of a short-term deviation instructions that will display to operators.
  

Change an Existing Artifact or Product Data

• Select "Change an Existing artifact (Vault file) or product data" request type
  
• Determine what you would like to identify as part of the request
  • Use Artifacts button to select files from the Vault
  • Use Parts button to identify parts by either series and callouts or by specifying each exact part number

Selecting Artifacts

• Search artifacts by keywords and filetypes

• Select the artifacts to add to your request

• After selecting the artifacts a second screen might appear with related artifacts. Go over the artifacts and add artifacts that will also need to be updated.

• Finish your file selections.

  

Selecting Parts

• To specify the affected options in series:
  • Type in the series name and select it, the series' callouts will populate
  • Click the callout title to view all the options for that callout.
  • By default all options in a callout are selected and represented by 'XX'
  • Select/deselect options as needed
  • You can click the checkmark button to switch to a simplified, view-only mode
    
  • Duplicate a row of series and callouts with the options selected by clicking the "more" button and selecting COPY
  • You can edit the options of the duplicated row as needed
    
  • Delete a row of series and callouts in the open side modal by clicking the "more" button and selecting DELETE
  • Delete a row of series and your selected options in the main page by using the "X" button
    
    
    
• To specify exact part numbers affected, simply type in the number and select the part number from the list
  
  
  

Create New Files

• Select "Create a new artifact (Vault file) or product data" request type
• Select the types of artifacts that you want to create
  
  
  

ASP Products

• A request that was started in ASP system for a domain that is active in Change Management will be directed automatically to Change Management, and a domain will be set by default.
• A request created in change management and a user selected an artifact that is a custom product, the domain will automatically be set and will not be able to change
• Custom products in a request for a specific domain cannot be combined with products from another domain.
  
  

Adding Functional Approval Groups

• Functional groups allow you to select departments within your domain that are impacted by your request
• One person from each group must approve the request, if the scope of the request requires an approval. This is in addition to the request approval group
• To select functional groups, select the domain and click on the Add button to add functional groups
• Check each group that is impacted by the request that will require their approval
• The functional groups that are added to the request will be added by default to the product change order, but can be edited by the product change order owner
  
  
  

Editing the Functional Approval Groups on a Request:

• The request owner can edit the functional group approvals by clicking on the Initial Request tab and selecting the Edit button
• Functional groups can be edited on a request that is sent back. Adding or removing groups will affect which groups that are required to approve the request. This ability to edit will allow a request owner to make sure that the right people are approving the request. If you find that your submission has the wrong groups, contact an approver to have them send it back so you can edit the functional groups and resubmit.
• Refer to the Functional Groups page under Groups menu to view who is assigned to the functional group for your domain
• The functional groups that are added to the request will be added by default to the product change order, but can be edited by the product change order owner
  
  
  

Submitting Request

• Click Submit Change Request button in the bottom action bar
  
• Save as draft button will save your request for later. You can go back to it in Tasks page under My Change Requests - Requests to Submit
  • Click Edit Request button to continue editing your draft change request
    
    
    

Change Request Summary

• The Change Request Summary page will give you all the information regarding a change request

• It will show the reviewers and the change request approval info along with approval comments

• It will show supporting files and the affects parts and artifacts associated with the request

• The change orders tab will show all change orders associated with the change request
  

• If a change request is not in the correct domain:

  • If the change request is in a "Ready" status, a domain admin can go into the Summary page, hover over the domain and click the edit button. A new modal will open where they can change the domain.
  • If the change request is in a "Assigned" status, the request owner will need to "Release to Queue" so the request is in "Ready" status, allowing the doman admin to change the domain.
  • If the request is "WIP" status, it is no longer possible to change domain. You may withdraw the request and re-create it in the correct domain.
